About the Role:

We are looking for a reliable, detail-oriented, and experienced Virtual Assistant (VA) to provide high-level administrative support to a busy plumbing business. This role is ideal for someone with strong experience in the trades industry who thrives in a fast-paced, service-focused environment.

Key Responsibilities:

  • Invoicing & Reconciliation
    Accurately prepare and send invoices; manage payment tracking and reconciliation tasks.
  • Accounts Follow-up
    Professionally follow up on overdue invoices and maintain clear records of communication.
  • Retention Tracking
    Keep track of retention amounts on each invoice to ensure timely and accurate final invoicing for builders.
  • Phone Management
    Answer 100% of incoming calls in a friendly, professional manner; log messages and actions taken.
  • Email Management
    Monitor, respond, and escalate emails efficiently; keep inboxes organized.
  • Quote Follow-up
    Occasionally follow up with clients regarding pending or recently sent quotes.
  • Vehicle Registry & Scheduling
    Track and maintain vehicle registrations, schedule regular services, and document accordingly.
  • Worker Coordination
    Remind field staff to regularly update car logs in ServiceM8 and ensure vehicle usage is properly documented.
  • Documentation & Recording
    Maintain accurate records of job progress, client communication, and completed tasks in ServiceM8 or shared folders.
  • General Administrative Support
    Assist with day-to-day admin operations to help the team stay organized and on track.

Ideal Candidate Will Have:

  • Excellent Communication Skills
    Strong written and verbal English skills.
  • Industry Experience
    Previous admin or office experience in a plumbing, electrical, or trade-based business is highly preferred.
  • Strong Work Ethic
    Self-motivated, dependable, and able to work with minimal supervision.
  • Positive, Professional Attitude
    Friendly, proactive, and focused on providing solutions and quality service.
  • Attention to Detail
    Especially in handling quotes, financial records, and client communications.
  • Tech-Savviness
    Comfortable using software like, XeroServiceM8, Google Workspace, and similar admin tools.
